Terms & Conditions 


It’s a condition at booking that all  clients must have sufficient medical insurance for the duration of the tour. The insurance should fully cover all personal requirements including death, injury, medical expenses, repatriation in the event of accident or illness, cancellation or curtailment or the tour or damage or theft of client’s personal property. In addition, where a client undertakes activities like trekking, Rafting, Quad biking, cycling, camping and mountaineering they must ensure that the insurance covers such activities. If the client is unfortunate enough to have  property stolen from them or sustain injuries, this should be reported to the company immediately and where necessary report to the nearest police station

We assume no responsibility whatsoever for personal illness, injury, loss or damage to a person or property in connection with any service resulting directly from act of God, annoyance, delays, expenses arising from quarantine, strike, theft, force majeure, failure of any means of conveyance to arrive or depart as scheduled, civic disturbances, terrorism, government restriction or regulations or changes in hotel services in which Harmony safaris limited has no control. All other companies we work with are independent corporations with their own management and not subjected to the control of harmony safaris limited.


Harmony Safaris Limited  as a principal company is incorporated  in the Republic of Uganda and it operates under the laws of Uganda. Your contract with us and matters arising out of it will be governed by the laws of Uganda save for contracts made through our associated USA company (Harmony Safaris), which will be governed by the laws of missouri, United states of America.


Harmony Safaris limited agrees to provide “4×4″ wheel drive safaris vehicles, minibuses, land cruisers or other vehicles as required at the discretion of the company for the specific itinerary agreed. Although every effort is made to ensure that vehicles are provided in road worthy conditions, no liability can be accepted for breakdown, nor any damage or delay resulting to the hire as a consequence. In case of a break down Harmony Safaris Limited will endeavor to provide a replacement vehicle as soon as posible for the clients to continue with the Safari. The company’s code of conduct for guides is available on request. Clients must not ask guides to break these rules in any way. In the event that a guide does not follow the code of conduct, the client /agent is asked to inform the company head office immediately. The client will be liable for any damage caused to the vehicle as a result of any interference or deliberate damage.This includes legal costs

Accuracy of Information

The descriptions, information and opinions given by the company in respect to national parks, animal sightseeing, accommodation, itineraries, gorilla permits, security etc are given in good faith based on the latest information available to the company. The company cannot accept any liability for  errors or omissions given in such information.

National Parks

All National parks are under Uganda wildlife authority whose objective is to conserve and sustainably manage wildlife in protected areas to benefit the people of Uganda and the global community. Therefore you are free to enjoy, watch, photograph and leave your foot print but not to disturb, injure or collect any thing from the natural habitat. Entering the park is at your own risk, however Uganda wildlife authority ensures safety for visitors while in the park therefore try your best to abide by the rules regulations of the park authorities.

Animal Viewing

Animal and birds are mobile and free to roam anywhere in search for food, water, shelter and can migrate in breeding season and hide away from preditors. Therefore, wildlife may not be where you want them to be. Harmony Safaris limited does not guarantee the viewing of wildlife. However, we will do our best to use park guides & knowledge to have good sightings.

The longer you spend observing, waiting and watching in the field the more you will see.

Gorilla and Cimpanzee Permits

Full payment or agreed amount shall be deposited  to our Account at the time of booking and on receipt of payment , Harmony Safaris Limited will book permits for gorilla trekking in the relevant National Park as agreed with the client / agent. However, getting a gorilla permit is not a guarantee of seeing  gorillas as local conditions sometimes mean that access to the gorillas is made impossible at short notice. Harmony Safaris Limited cannot be held responsible for any circumstances that might lead to gorilla viewing being cancelled, absence of the gorillas or border security problems. In the event of gorilla trekking being withdrawn at short notice, refunds are at the discretion of the relevant authority and not within the company’s control. If refunds are made available, the company passes them on to the client / agent excluding the 10% administration fees charged at the time of booking

 Rescheduling of permits

Reschedules of permit reservations are not permitted. Any changes of dates will be considered as a cancellation and a re-booking is necessary. The cancellation policy will apply and rebooking for a new date will be at the full cost of a permit. See below as per UWA cancellation policy 

Cancellation and Refund by Uganda Wildlife Authority

Cancellation refunds

A client may cancel a booking and UWA may refund certain amounts when a booking is cancelled in time, as indicated below. All refunds shall be affected at UWA Headquarters in Kampala through the Reservation Office. And refunds may take about 21 days to process.

UWA will retain the following percentages upon cancellations:

  • 0 – 8 days to tracking date – no refund
  • 9 – 45 days to tracking date – 75% (25% refund to client)
  • 46 – 90 days to tracking date – 50% (50% refund to client)
  • 91 days and above to tracking date – 30% (70% refund to client)
  • No refund will be made on the 30% deposit under any circumstances

The cancellation refund regulation will apply to visitors who cancel prior to their tracking dates.

All Cancellations will be made in writing and UWA will consider the date of receipt of notification as the cancellation date.


We shall make every reasonable effort to ensure that (a) all component parts of the holiday are supplied as described in the information provided to the clients and to a reasonable standard; and (b) our employees, agents, suppliers and sub-contractors exercise due care in carrying out our obligations under the contract. We accept responsibility for what our employees, agents, suppliers and sub-contractors do or do not do (provided they were at the time carrying out work authorized by us). If any part of your holiday is not provided as advertised and to a reasonable standard, we shall pay you appropriate compensation if your enjoyment of the holiday has been affected and you have followed the complaints procedure set out in these terms and conditions. This acceptance of responsibility is subject to the clause relating to "Force Majeure" above and these Terms and Conditions generally. Our maximum liability in respect of complaints (except where death, personal injury or illness results, or where claims relate to loss or damage to possessions or luggage, which are dealt with below) is limited to an amount equal to the cost paid by or on behalf of the person affected for the relevant services. The maximum amount will only be payable where the person affected has derived no benefit from the holiday and none of the services contracted have been provided. Liability for loss or damage to luggage or personal possessions (including money) will be compensated to a maximum of US$30 on the basis that the client is assumed to have taken out adequate insurance cover in respect of such losses at the time of booking.

We will take all due care to prevent your death, injury or illness being caused by the animal or insect life of the destinations. It is your responsibility to take proper medical and practical precautions in this regard and your attention is drawn to the section in the Travel Notes relating to Health and our recommendations and travel tips. Medical advice should be sought well before travelling. Subject to these Terms and Conditions, we may accept responsibility should you or any of your party suffer death, personal injury or illness as a result of any failure to perform or improper performance of the contract by any of our employees, agents, suppliers or sub-contractors (provided they were at the time carrying out work authorized by us) except in the following situations. We will not be liable where any failure to perform or improper performance was due to: (i) the acts or omissions of a third party not connected with the provision of the holiday under the contract and which were unforeseeable or unavoidable; (ii) an event which we or the supplier of the relevant services could not have foreseen or avoided even with all due care. Any claim must be notified to us in accordance with the complaints procedure set out above. Any person to whom any payment is made (and their parent or guardian if that person is a minor) must assign to us and our insurers any rights they may have to pursue any third party in connection with the claim and provide all necessary assistance to us and our insurers that be reasonably required.


Please ensure that the quotation given with details of number of clients, dates, accommodation, transportation, permits, park fees and all other services to be provided is clear and accurate before confirming the booking in writing. All references to quotations in writing shall include reference to correspondence by facsimile and electronic mail. The price of your chosen holiday will be confirmed at the time of booking. We reserve the right to correct errors in both advertised and confirmed prices and will do so as soon as we become aware of any such error(s).

Once the price of your holiday has been confirmed, subject to the correction of errors, a surcharge will only be payable if transportation costs, taxes, accommodation costs or gorilla permits increase in total to over 2% of the holiday price. If you are required to pay more than 10% of the original holiday price, you will be entitled to cancel your holiday with the full refund of all the money paid to us except fees paid for gorilla permits. Should you decide to cancel under these provisions, you must exercise your right to do so within 14 days of notification to you of the surcharge. We reserve the right to increase or decrease the prices of unsold holidays at any time.


At the time of booking you must confirm acceptance of these terms and conditions and pay a deposit of 20% of the price of your holiday including fees for gorilla permits. (See also section on gorilla permits.) If written acceptance is not received from you, we shall assume acceptance of the Terms and Conditions. The balance must be paid in full not later than 45 days before departure. Bookings made within 30 days of departure must be paid in full at the time of booking. All monies you pay to one of our authorized agents for your holiday with us will be held by the agent on our behalf until it is paid to us or refunded to you.

 Failure to Track refunds

Visitors who fail to track the gorillas (especially in Mgahinga Gorilla National Park) as a result of the gorilla movement to the neighboring country shall receive a full refund on their permits.
